Key Responsibilities

As a key member of the WTW team, the successful candidate will be responsible for providing administrative support to ensure the smooth operation of our facilities. This includes:

  • Managing reception duties, including call and visitor handling, five days a week.
  • Coordinating meeting support, ensuring meeting spaces are stocked and tidy, and arranging for catering and special equipment as needed.
  • Overseeing print, post, and courier services, as well as maintaining stationery supplies and stock levels.
  • Printing, binding, and producing client reports, proposals, and other materials in a timely and accurate manner.
  • Monitoring facilities services emails, phones, and service tickets, and responding promptly to inquiries.
  • Maintaining the overall cleanliness and order of our office space, ensuring equipment is properly maintained.
  • Collaborating with building management and office management to arrange repairs and maintenance.
  • Assisting with the coordination of workstation moves and other space adjustments.
  • Maintaining up-to-date emergency procedures and business continuity documents, and assisting with emergency notification system tests, registrations, and records.
  • Supporting the onboarding of new colleagues, including IT requirements and other Service Now tasks.
  • Providing colleagues with a working telephone/voice handset.
  • Assisting with the management of business records, updating file management systems.
  • Performing other facilities services duties as assigned by the facilities services leader/manager/supervisor.

Requirements

The ideal candidate will possess excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment. They will also have a strong attention to detail and be able to maintain confidentiality when required.
